Designing an Onboarding Program

People Experience Design | Employee Onboarding

Tech Company

The Project

The Challenge:
Our client lacked a defined process for integrating new employees into the organization. This absence of a proper onboarding process led to confusion among new hires regarding their roles, responsibilities, and expectations. Additionally, there was a lack of clarity regarding who was accountable for various aspects of the onboarding process, resulting in inconsistency.

The Solution:
The client engaged with Perky People to co-design and implement a comprehensive onboarding program with clear roles, responsibilities, and structured activities tailored to company culture and needs.

Details of Action Taken:
The implementation of the new onboarding program involved several steps:

  • Assessment of existing processes: A thorough evaluation of the existing onboarding practices was conducted to identify areas of improvement and gaps in the process.
  • Collaboration and stakeholder buy-in: The onboarding team collaborated closely with key stakeholders across departments to gain insights, gather feedback, and secure buy-in for the proposed changes.
  • Design and development of the onboarding program: Based on the assessment findings and stakeholder inputs, Perky People co-designed and developed a comprehensive program tailored to the company's needs and culture. This includes customised onboarding collaterals for new joiners like UAE country guide, onboarding guidebook, manager’s how to onboard a new team member handbook, etc.
  • Training and communication: Training sessions were organized to educate HR personnel, department heads, and mentors on their respective roles and responsibilities in the onboarding process. Clear communication channels were established to facilitate seamless coordination and support throughout the program.
  • Pilot implementation and iteration: A change management plan was put in place for a full implementation. The new onboarding program was piloted with a small group of new hires in a specific Business Unit, to test its effectiveness and identify areas for improvement. Feedback from both new employees and stakeholders was collected and used to refine the program further, before doing a phased-approach launch across the organisation.

The Results:
The comprehensive onboarding program was implemented successfully. It has not only addressed the existing challenges but also contributed to a more positive and impactful onboarding experience for new hires. By prioritizing clarity, accountability, and support, the company has laid a strong foundation for the continued growth and success of its workforce.
